Guide: Booking Spaces
Using the inspace Web Platform

Social connection notifications in inspace helps to build community of in-office and remote staff alike. Share important milestones and activities easily on the interactive floor plan
The inspace web platform empowers users to easily book a desk or space from the interactive floor plan.

Step-by-step instruction for booking desks and reserving meeting rooms and other spaces

To book a desk, do the following:
  1. Click here to sign in to inspace using the corporate email.

2. On the interactive floor plan, select the desk you want to book. Please note, the interactive floor plan provides a visual glimpse of the office - what spaces are open (light blue), booked by another user (dark gray), assigned desks (light gray) and your current selection (dark blue). From this view you can also find where colleagues have reserved workspaces.

3. After you select the desk you want to book, a pop-up will appear in the right pane. In that pop-up, enter the Booking Date and Time or specify them by using the drop-down options. Then click Book (see Picture 2).

4. The message “Congratulations! Your space is reserved!” will confirm that your booking is successful.

Booking a meeting room, common room or other space is similar to desk booking. Some spaces will have other information required to book the space. For example, to book a meeting room, two additional fields are required – Link (virtual meeting) and Participants (see Picture 4). A link allows remote participants to join a meeting via a video conference. Adding people to a meeting room booking in inspace will invite them to the meeting just as it does from your calendar application.

Title and Description provide more context around the meeting’s purpose. If integrations with the Google Calendar or Outlook are set up, you can fill in Title and Description fields to be synched with the calendar application.

How to view, edit, or cancel your booking?

  1. In the left navigational panel, select My Bookings. Hover over the row with the booking to activate the menu (see Picture 5).

2. Click the Pencil icon to edit the booking, the Turn Off icon to cancel the booking, or the Restart icon to repeat the booking.

In order to get the most effective and efficient support, it is recommended that users provide as much information as possible about the issue they are experiencing, including any error messages or other details.
