NCSSM Morganton Achieves Flexible Campus Space Management for Students and Faculty with inspace

Adapting to Unique Campus Space Management Needs

In 2022, NCSSM-Morganton welcomed its first residential class of 150 high school juniors to a state-of-the-art campus. The campus is equipped with a residence hall with beautiful mountain views, gathering spaces for social and academic groups, and an Academic Commons building that's the hub of the campus. The building has modern classrooms, meeting rooms designed for team projects, a library, maker space and fabrication lab suite, science labs, technology spaces, and an open dining area.

But with such a large and advanced space, the challenge of managing it effectively and efficiently arose. That's where the IT applications team came in. They wanted to make sure that the new space could be used easily and fully by staff and students alike. However, there were a few challenges to overcome.

A unique approach was needed for classrooms and other types of common spaces with distinctive role and timing permissions.
First, students and faculty needed to share spaces in the 94K+ square foot Academic Commons and the Goodwin Hall on campus, but they did not use the same calendar systems. They needed a way of booking common spaces that were easy for the user and synced with the different calendars.

Second, the booking schedule needed to be set not only by user role, but also by day and time. Additionally, they needed strong integration capabilities, space usage data, and a user-friendly interface that students and faculty would adopt.

To find a solution, they looked at four workplace booking platforms. Most of these platforms could not deliver either the type of spaces needed to be managed, the integrations with their tech stack, or latency requirements.

After a small team beta-tested the platforms and made their recommendations, inspace emerged as the clear winner. It met all of NCSSM's needs while providing the best user experience, particularly the interactive floor plan.
inspace designed a system that worked for this unique campus-based application and made it work seamlessly with NCSSM's existing technology stack. inspace’s development team quickly modified the platform’s role and space assignment features to create a feature that would allow for time-based access. This allows anyone to reserve rooms during the weekends while giving faculty and staff the exclusive ability to reserve rooms during business hours. For students, they set the system up to allow them to reserve rooms after 5:00 PM from Monday to Friday.

Working together, we are seamlessly integrating the inspace app with Google calendar, Workplace, and Zoom. This integration will allow users to book, manage, and join meetings without having to switch between different systems. Moreover, all users will see accurate, up-to-date booking information. NCSSM's dashboard will be incredibly useful to administrators to manage the entire system, view usage data, and make adjustments to reservations and availability.

Simple Reservations with Customized Solutions

With the inspace platform rollout, faculty, staff, and students will be able to reserve spaces easily, and students had the after-hours access they needed. The interactive floorplan will be especially useful, allowing students to easily find what they needed just by looking at the prompts on the floorplan in the inspace app. The integration with Google calendar, Workplace, and Zoom will make the platform incredibly easy to use, and the dashboard gives administrators a lot of control over the system.

What we love about this project is that it showcases the inspace platform’s flexibility. There is no one-size-fits-all solution when it comes to managing spaces, and inspace proved that it can adapt to the specific needs of campuses like NCSSM's. With the platform’s features and capabilities, we will be able to achieve flexible space management for their students and faculty, making their state-of-the-art campus even more efficient and user-friendly. It's exciting to see how technology can enhance the learning experience for students and we're thrilled to have been a part of this transformation.
